How to send exam results to parents via SMS using an Excel file

When students sit an exam you may to notify their parents on how they performed. Most schools will print result slips and give them to students to take home. However, some deceitful students may want to change their bad grades to appear like they did well in the exam or hide the slips altogether.

Sematime allows schools to send exam results to parents via SMS. Each parent receives a unique message showing what their student scored per subject, overall grade, position, etc.



Before we get started, please ensure that you have saved the exam results in an Excel file whose data format matches the template below. The first row is the column names followed by specific student details.


While the sample Excel file above has many important columns, Sematime only needs the following columns: student ID(admission number), student name, scores per subject & total marks or mean grade. Any other column provided will be included in the final message.

Once your Excel file is ready, go to the 'Messages' section on the menu and select the 'Exam results' option as highlighted in the image below. Proceed to drag-and-drop your Excel file onto the dotted area or click the 'Select Excel file' button to choose from your computer file system.



On the next step, you may need to match the columns in your Excel file to the student ID, name & position/rank, total marks and mean grade columns that Sematime needs. You do this by clicking on the down arrow ⌄ and choosing the correct column name. Select --Not Applicable-- if your file does not have the indicated column. Click 'Next' to proceed.



On this final step, enter the name of the exam and optionally provide additional details such as the class size, class mean score, etc that may help the parent compare their child's performance with the rest of the class. Click 'Send Results' when finished.



After sending your message, you will get a delivery report summary. At first, all the messages will be in the 'Pending' status but will gradually get updated to either 'Delivered' or 'Failed' based on the delivery confirmation report we get from the mobile network operator e.g Safaricom, Airtel, Telkom etc.
