How to add or edit CBC subjects, strands, substrands and assessments
To save you time during data entry, your Sematime Academics comes preloaded with strands, substrands and assessments for each subject. However, you can still add your own data from your ' Settings' under the 'Assessments' section. On step 2, specify the year group and the subject whose data you want to edit or add. The system will load the data that we preloaded for you when you setup your Sematime Academics account.
Add, edit or delete strands or sub-strands
Click on the ' Strands & Sub-strands' tab view, edit or add the choosen subject data manually. For example, to add a new strand simply click on ' + New Strand' and enter the name. You can also delete a strand, rename it or even change the order of appearance of the strands and sub-strands, click and hold the ☰ icon then drag-and-drop the row to your preferred location and finally save changes. The same procedure can be followed for sub-strands too.
After adding a new strand and its sub-strands you can then proceed to add its assessments or learning outcomes. Start by clicking the 'Add Learning Outcomes' button then specify the details in the gree section as highlighted below.
How to import subject data from an Excel file
Adding subject data manually as described in step 1 above is simple but can be burdensome especially when you consider that a typical school will have 200+ strands, 2,000 sub-strands and over 5,000 assessments to capture. That's a lot of work so we created a simpler way of adding this data via use of Excel files as shown below.
Please note that we require a separate Excel file for each subject. The Excel file should then be formatted as follows:
Sheet names - should be the names of each strand
Column headers - should be the names of each sub-strand
Cell values - should be the names of the assessment or learning outcomes
The image above shows ' Grade 1 - Creative Activities' subject data. The file has 3 sheets each bearing the names of the strands for this subject: (i) Creating and exploration, (ii) Performing and display and (iii) Appreciation. Upon opening the second sheet, we see that the 'Performing and display' strand has 7 sub-strands as is denoted by the column headers shown at the top: (a) Stretching, (b) Jumping, (c) Western Style Singing Games etc. Finally, under each column header(sub-strand) we have the specific assessments or learning outcomes. We have prepared many Excel files for each grade and subject for you to download and modify here - https://drive.google.com/drive/folders/14tE4WPedOnvKmckJkjKoCvIjIi9fqGiB
Once you are done adding your data it is now time to import it into your Sematime account. Start by opening the ' Import Subject Data' tab and then click on the ' Select Excel File' button.
The system will process the file and show a preview of the data extracted. Go through the preview and confirm that you picked the correct Excel file. Once satisfied, click the ' Add Data' button to complete the importation.
